The 10 questions
Score each green (yes), yellow (partial), red (no).
- 1. Do we have a written AI policy that staff have read?
- 2. Have we told our team which AI tools are approved?
- 3. Are there clear rules about pasting client data into AI tools?
- 4. Do we ask AI vendors where data is stored, who can see it, and whether it trains models?
- 5. Has our team had basic AI training in the last 12 months?
- 6. Do we review AI use at least quarterly?
- 7. Do we know what to do if AI gives a customer wrong information?
- 8. For high-stakes decisions, is a human checking AI output before it goes out?
- 9. Do owners and execs broadly understand what AI is being used for?
- 10. Could we produce a list of every AI tool currently in use in under 10 minutes?
How to read your score
8–10 green: solid foundation. Refine. 5–7 green: on your way; pick the two weakest answers and fix those first. Under 5 green: your team is using AI without guardrails. Start with a one-page policy and a 60-minute training; both can happen in two weeks.
